Both stop your phone ringing out. One charges you every time a customer calls. Here is the difference in plain terms, including what each one actually does with the call.

Joe is answering as Sunshine Plumbing & Gas, a fictional business on the Sunshine Coast. Call or text her like a real customer would, then compare that to what the alternative gives you.

The short version

An answering service takes a message. Joe takes the job.

A traditional answering service is a room of people answering the phone for dozens of businesses at once. They pick up, take a name and number, and pass it on. That is the whole product.

The gap is what happens next. You still have to ring back, ask what the job is, work out if it is urgent, and quote it. If you are under a house or up a ladder, that call back happens hours later, and by then the customer has rung the next name on the list.

Joe answers the call and the text, asks the qualifying questions you would ask, works out whether it is an emergency, and sends you a lead you can quote straight away. Accepted quotes turn into draft invoices in Xero.

The other difference is billing. Answering services almost always charge per call or per minute, so a busy month costs you more. Workbench is one flat price no matter how the month goes.

The verdict

If all you need is someone to say the business name and take a number, an answering service does that. If you want the enquiry qualified and ready to quote by the time you get off the tools, that is a different job, and it is the one Joe was built for.

Be fair about it

When each one is the right call.

Stick with an answering service if

  • You get very few calls and per-call pricing genuinely works out cheaper
  • You need a human voice for compliance or client expectation reasons
  • Your calls are complex conversations rather than job enquiries
  • You already have someone doing the quoting the moment a message lands

Switch to Workbench if

  • You want a predictable bill that does not spike in a busy month
  • Half your enquiries come in as texts, not calls
  • You are on the tools and cannot ring back for hours
  • You want the job details captured, not just a name and number
  • You want quotes flowing into Xero without retyping anything
